This is an exciting opportunity to play a key role in providing business support and data processing to ensure the smooth running of Family Time Hertfordshire.
You will have an open-minded, flexible and caring approach towards children, parents and other family members who are accessing our services.
The Business Support Officer will support the service in a range of duties, not limited to but including managing reception, data collection and processing, minuting meetings, procurement, H&S and financial monitoring..

Main Responsibilities:
• Manage reception including meet and greet children, families and professionals, answering calls and taking messages.
• Collate and analyse information and data.
• Maintain computerised systems, data and spreadsheets.
• Produce data and monitoring reports as required.
• Carry out administrative tasks such as processing orders and invoices, minute taking and drafting agendas
• Provide the administrative support to the Senior Management Team as required
• Provide support to the BSC to ensure Health and Safety standards are in accordance with the standards as applies to legislation.
• Adhere to Family Actions confidentiality policy and ensure that confidentiality is maintained at all times
• Ensure you have an understanding (appropriate to your role), of and comply with, Family Action’s procedures for promoting and safeguarding the welfare of children and vulnerable adults.
• Participate in supervision arrangements and meetings as negotiated and agreed with your manager.
• To ensure the implementation of Family Action’s Diversity & Equality Policy and our Ethical Policy in every aspect of your work and positively promote the principles of these policies amongst colleagues, service users and other members of the community.
• Work flexibly as may be required by the needs of the service and to undertake any other reasonable duties as required.

Main Requirements (for details check the job description and person specification):
• Minimum 4 GCSEs (or equivalent) at grade A-C, including Maths and English
• High standard of Data inputting and proficient in Excel
• Proven experience of maintaining data and producing accurate data reports while working to tight deadlines.
• Experience of manipulating large data sets and proactively identifying data issues and areas for development
• Experience of processing orders and invoices
• Experience working with children and families and professionals in a customer facing role
• Experience of Health and Safety at Work and the legislation
• Strong computer literacy skills, including use of Microsoft Office Suite (especially Excel) to collate and interpret data, such as using pivot tables, creating and editing graphs and conditional formatting.
• Ability to collate, analyse, interpret and present data accurately and in a timely manner, with excellent attention to detail and are able to communicate complex data, analysis and processes to non-technical staff either in written or verbal formats.
• Ability to process orders and invoices within set timescales
• An excellent understanding of the needs for confidentiality of information regarding all aspects of the post.
